Terms & Conditions – Pioneros 2026 Trip
These terms apply to the Pioneros pilot trip from 26 Nov to 4 Dec 2026 in the Eje Cafetero region, Colombia. German package travel law (§§ 651a et seq. BGB) applies in addition.
1. Who we are
The organizer is sendero bike trails, owned by Julian Pérez, Berlin. On the ground, we work with a local partner who provides guides and transport. You book your own flights to and from Colombia — they're not part of the trip.
2. Signing up
You register with us by email or WhatsApp. It becomes binding once you get our trip confirmation by email. Please check it over and let us know right away if something's off. If you register other people too, you're responsible for making sure they know and agree to these terms.
3. Payment
Deposit: 20% of the trip price, within 7 days of the trip confirmation
Balance: by 27 Oct 2026 (30 days before departure)
by bank transfer to the account on your invoice; you cover any international bank fees
Your money is protected: before you pay anything, we give you the security certificate (Sicherungsschein) required under § 651r BGB. No security certificate, no payment request from us.
4. What to expect — and what can change
What's included is listed in the Pioneros presentation and your trip confirmation. Distances and elevation figures are approximate.
Colombia is alive: sometimes trails aren't rideable after rain, or something unexpected happens on the ground. When that happens, we adjust the route, stages, or daily schedule — the character of the trip stays the same. If something significant changes substantially, you can withdraw free of charge.
The price is locked in: once you've booked, we won't raise it.
5. If you need to cancel
You can withdraw at any time before departure, ideally by email. What counts is when your message reaches us. Since we book accommodation, guides, and transport in advance, we then charge compensation:
| Your cancellation arrives … | Compensation from the trip price |
|---|---|
| Up to 30 days before departure | 50% |
| 29 to 15 days before | 70% |
| 14 to 1 day before | 85% |
| On the day of departure, or a no-show | 90% |
If we can show our actual loss was lower, you pay less. Instead of cancelling, you can also hand your spot to someone else who meets the same requirements, up to 7 days before departure — just let us know by email.
If there's a travel warning from the German Federal Foreign Office for the region, or a natural disaster, you can withdraw free of charge.
Tip: trip cancellation insurance is inexpensive and covers a lot of these cases.
6. If we need to cancel
If fewer than 3 participants are firmly registered by 5 Nov 2026, we may cancel the trip. The same applies if extraordinary circumstances make the trip impossible (e.g. a travel warning, natural disaster). You'll get back everything you paid within 14 days.
If someone keeps disrupting or endangering the group despite being spoken to about it, we can end the trip for that person. The trip price is then kept, minus costs we saved, and not refunded.
7. Your health and safety
Participant questionnaire: please fill it out completely and honestly — health, fitness, riding ability, emergency contact. This lets us tailor the tours to the group and respond correctly in an emergency. If anything important changes afterward, please tell us right away.
Fitness: assess for yourself whether the stages, elevation gain, and altitude suit you. We're not doctors — if you have a pre-existing condition or aren't sure, have a quick word with your doctor beforehand.
Helmets are mandatory on every ride, gloves too. Without a helmet, unfortunately you can't ride.
Our guides have the final say on safety: route, pace, walking the bike instead of riding it. If you're visibly overwhelmed, ill, injured, or have been drinking, you'll sit out a stage and, if possible, ride along in the support vehicle instead. No refund is given for this.
Residual risk: mountain biking stays a sport with a risk of falling — anywhere in the world. You ride within your own ability and choose your own speed and line. That said, we're still responsible for our own mistakes.
8. Your bike
A mountain bike (full-suspension) in your size is included. Scratches, wear, and falls typical of the sport are our concern, not yours. Only if you damage the bike intentionally or through gross negligence do you pay for the damage in full; for slight carelessness, up to a maximum of €300.
Want to bring your own bike? Sure — just let us know by 27 Oct 2026. It needs to be in proper working order and suitable for the trails. You're responsible for transporting and for any damage to your own bike, unless we caused it. Bike insurance is worth having.
9. Insurance
No insurance is included in the trip price.
Required: international travel health insurance that covers treatment in Colombia, rescue, and repatriation, and that doesn't exclude mountain biking. Enter the insurer's name and an emergency number in the questionnaire.
Recommended: trip cancellation and interruption insurance, sports accident insurance, luggage and bike insurance. Many credit cards already cover part of this — worth checking.
10. Liability
For property damage that we caused neither intentionally nor through gross negligence, we're liable up to three times the trip price — that's the statutory limit. For injury to life, body, and health, we're liable as required by law, without limitation. We're not responsible for activities you undertake on your own outside the program.
If something's wrong along the way, please tell Julian or the guides right away so we can still fix it. You're responsible for your own passport and vaccinations; we'll send you the key pointers beforehand.
11. Your data and photos
We use your data only to organize the trip. It's only passed on where necessary — to our local partners (accommodation, guides, transport). We use the health information from your questionnaire only with your explicit consent, only for safety and emergencies, and delete it no later than 3 months after the trip.
A photographer joins us at a few points along the route. You get all the photos for your own private use. For our website and social media, we only use photos where you're recognizable with your separate consent — which you can withdraw at any time.
12. Finally
German law applies; the place of jurisdiction for claims against sendero bike trails is Berlin.
Claims become time-barred two years after the trip ends.
We don't take part in consumer arbitration proceedings.
If any rule is invalid, the rest still applies.
These terms are the legal foundation — but Pioneros is, above all, a shared journey. If something doesn't feel right, let's talk it through.
